What is the OneDrive Setup in Business Central?

The OneDrive Setup in Business Central allows users to connect their environment with Microsoft OneDrive. Once connected, you can manage, open, and share files directly through OneDrive – improving collaboration and document management across your organization.


How do I access the OneDrive Setup?


1. Go to Assisted Setup in Business Central.

2. Search for OneDrive Setup using the search bar.

3. Select Connect your files to the cloud to start the setup wizard.


What does the OneDrive Setup window show?


In the setup window, you can configure how Business Central interacts with OneDrive:

  • Use with app features – When enabled, certain Business Central app features that handle files (like exporting reports or documents) will automatically work with OneDrive.
    You can download files, open them in OneDrive, or share them through the OneDrive sharing window.
  • Use with system features – When enabled, system-level features (such as viewing reports or opening exported Excel files) will open directly in Excel for the web, Word for the web, or OneDrive’s PDF viewer.

Each option has a toggle switch that you can enable or disable depending on your preference.

Can I save Excel files to OneDrive automatically?


Yes. When the setup is complete and OneDrive integration is enabled, Excel files exported from Business Central will be saved directly to your OneDrive account.

By default, Business Central saves these files in the Downloads folder within OneDrive, making it easier to find and access your exported files from anywhere.


How to complete the setup

  1. Turn on the toggle for Use with app features or Use with system features, as needed.
  2. Click Next to continue through the Assisted Setup wizard.
  3. Follow the on-screen prompts to complete the connection and authorize access to OneDrive.

Once done, Business Central will use OneDrive for file handling and storage according to your selections.


Tip: You can revisit this setup anytime via Assisted Setup → OneDrive Setup to modify your preferences or disconnect OneDrive.
